Student Fields
Create and manage fields that belong to student profiles.
Student fields store information that belongs to the student profile. They are used across forms, lists, profile views, search, filters, reports, and applications that reference the student.
Use student fields for information that should not be tied to only one application.
Open Student Fields
- Open Settings.
- Select Field Management.
- Open the student fields area.
The page shows field groups first. In the local setup, common groups include Identity Information, Contact Information, Address Information, Additional Information, and Custom Fields.
Each field row shows the field label, field name, field type, field group, and status badges such as Required, System, Base, or Searchable. The row actions control list visibility, detail visibility, form visibility, and field editing.
Student Fields Versus Application Fields
Student fields and application fields are not interchangeable.
| Field area | What it stores | Example |
|---|---|---|
| Student fields | Information about the student profile | First Name, Last Name, Primary Email, Nationality, Passport Number |
| Application fields | Information about one application in a selected pipeline | University Name, Application Deadline, Visa Submission Date |
If the same value should be visible across every application for the student, make it a student field. If the value can be different for each application, make it an application field.
Field Groups
Groups keep related fields together. Use groups to make long lists and forms easier to scan.
Good groups have a clear purpose:
| Group | Good fit |
|---|---|
| Identity Information | Names, date of birth, nationality, passport details |
| Contact Information | Email, phone, preferred contact method |
| Address Information | Address fields or structured address details |
| Study Preferences | Destination, intake, program level, preferred subject |
| Source Details | Lead source, campaign, referral partner |
Use Add Group when a new set of fields needs its own section. Use the group menu to edit or remove a group.
Create A Student Field
- Open Settings.
- Select Field Management.
- Open the student fields area.
- Select Add Field.
- In Basic, choose the Field Category.
- Choose the Field Type.
- Enter the Display Label.
- Review the Field Name.
- Add Help Text when users need guidance.
- Choose the Field Group.
- Turn on Required Field only when every new student must have the value.
- Select Next.
- In Configuration, set the type specific options.
- Select Next.
- In Validation, add rules only when the field needs stricter checks.
- Create the field.
The Display Label is the name users see. The Field Name is the system key used by forms, imports, and connected workflows. It is generated from the label, but admins should review it before saving.
What Can Be Changed Later
Some settings are safer to change than others.
| Setting | Guidance |
|---|---|
| Display Label | Usually safe to rename when the meaning stays the same. |
| Help Text | Safe to update whenever users need clearer guidance. |
| Field Group | Safe when you are only organizing the field differently. |
| Required Field | Review carefully because it can block form completion. |
| Field Type | Choose carefully at creation time. Do not expect to change it after data is collected. |
| Field Name | Avoid changing after the field is used in forms, imports, automation, or reports. |
After creating a field, review field configuration, validation, search settings, and display configuration.
